Privacy policy

The Farm Management System (this website and its mobile app) is run by Mexil. This page says what we keep, why, and how you can have it deleted. Questions: privacy@mexil.it.

What we keep

• Your login: username, email (if you give one), language, and your password — stored only as a one-way hash, never the password itself.
• Your farm's records: the farm's name and contact details, logo, animals and their photos, weights, vaccinations, treatments, checks, matings, milk, and income and expenses — whatever you and the people on your farm enter.
• Payments: amount, period and status. Card, bank and wallet details are entered on PayFast's own page; we never see or keep them.
• For security: the IP address of failed password attempts, for one day, so nobody can guess passwords. A cookie (website) or token (app) that keeps you logged in. If Claude is connected to a farm (below), a log of its requests — time, IP address and what it asked — for 90 days, to stop misuse.

We show no ads, do not sell your information, and use no tracking or advertising cookies.

Camera and photos

The app asks for the camera for two things only: scanning the QR tag on an animal's collar, and taking an animal's photo. Only a photo you choose to save is sent.

Location

Your farm's location — a point you set on the map — finds vets near you and tells a vet how far to travel. A vet sets the point they work from and how far they go. The phone's location is asked for only when you tap "Use my location", and only while the app is open; you can always drag the pin by hand instead. Farms see how far a vet is, never the vet's point. A vet sees a farm's exact point and contact phone only after accepting that farm's request.

Vet profiles and reviews

• Vet profiles: once our team approves it, a vet's name, photo, qualification, council and registration number, the animals and services they cover, fee, how far they travel, languages and "about" text are public. Their phone and WhatsApp are shown only to a farm whose request they accept.
• Licence photos: seen only by our team (the super admins), to check the registration. Never public, never shown to farms.
• Reviews: after a visit, the farm can rate the vet. The review is public, with the farm's name and the date; the vet can reply. Anyone logged in can report a review or a profile; our team can hide reviews and suspend profiles, and a vet can block a farm.
• Notifications: if you allow them, the app gives us a push token — an address for your phone from Expo, the app's push service — so we can tell you about requests and approvals. Expo receives the text of each message to deliver it. The token is deleted when you log out of the app or delete your account.

Who can see it

• Your farm's records are seen only by the people on that farm, as their role (admin or worker) allows.
• Public pages: each animal's QR tag page and the farm's public page can be opened by anyone — they show an animal's basic details, photo, parents and latest weight, and, while a medicine's withdrawal period runs, its name and end date, so nobody sells meat or milk too soon. Also the farm's name and the contact details you give in its settings. Money is never public.
• Services we need to run this: our web host (Hostinger), the service that sends our email, and PayFast for payments. Each sees only what its job needs.
• If a farm's admin chooses to connect Claude (by Anthropic) to the farm, Claude can read that farm's records while the connection stays on.
• Anyone else only where the law requires it.

How long

As long as your account and farm exist. Safety backups delete themselves after 30 days.

Deleting your account

In the app or on the website: Account → Delete your account. That removes your login and email at once, and any farm nobody else uses, with all its records, photos and QR codes. Farms with other people on them carry on. A vet profile goes too, with its photos and the reviews of it; its open requests are cancelled. Backups lose it all within 30 days. To have anything else deleted, or for a copy of your information, write to privacy@mexil.it.

Children

This service is for people running farms, not for children under 13.

Changes

When this policy changes, the date above changes; for a big change we will tell you by email or in the app.
